We accept groups in Hotel Levell (3*), XO Hotels Couture (4*), XO Hotels Blue Tower (4*) , XO Hotels Blue Square (3*) and XO Hotels Park West (4*)
1. Group size and minimum nights
a) Requests from 6 rooms or more will be considers as a group reservation.
b) We can offer a maximum of 30 rooms per night, per hotel.
c) We do not accept 1 night groups in the weekend.
2. Realization of a group reservation
a) Requests shall be admissible only in writing.
b) An optional reservation is only given for a maximum of 2 weeks, unless otherwise confirmed by the hotel.
c) Optional reservations will be automatically released at noon (12 PM, Amsterdam time) on the agreed date of the option.
d) The reservation is concluded if the client has confirmed the request in writing.
XO Hotels Amsterdam will then send a confirmation and send the payment link for the first prepayment to the client, and payment needs to be made within 2 working days to confirm the group.
e) The person who concludes the agreement on behalf of or for the benefit of the group (the client) is jointly and severally liable for all obligations arising from this agreement.
3. Payment
a) If a group booking is confirmed more than 8 weeks prior to arrival, the following payment terms apply:
– 10 % deposit within 2 working days after confirmation.
– 45 % deposit within 8 weeks before the arrival date.
– The balance must be paid within 2 weeks before the arrival date.
b) In case of a confirmation of a group reservation less than 8 weeks before arrival, the following payment terms apply:
– 55 % deposit within 2 working days after confirmation.
– The balance must be paid within 2 weeks before the arrival date.
c) In the event of failure to pay on the time specified, XO Hotels Amsterdam is entitled to cancel the group reservation. Already paid funds will not be refunded.
4. Rates
a) All rates are in EUR, per room and per night, unless otherwise stated.
b) All rates are net prices. Commission is not included.
c) Room rates offered include breakfast, VAT, city tax and tourist fee, unless otherwise stated.
d) Rates may change if the Dutch Government changes taxes or service charges.
e) For the 21st and 42nd paying guest we offer a free ½ twin room, with a maximum of one (1) free twin room.
5. Cancellations
a) Cancellations are only accepted in writing.
b) If a reservation is to be cancelled or changed, the following costs will be charged:
– In case of cancellation more than 8 weeks before arrival, 10% will be charged.
– In case of cancellation less than 8 weeks before arrival, 55% will be charged.
– In case of cancellation less than 2 weeks before arrival, 100% will be charged.
c) Reduction of the number of rooms is possible up to 2 weeks before arrival for the following numbers:
– Up to 2 rooms can be cancelled free of charge
6. Rooms
a) The offer is based on a standard twin room. This room has two single beds (90 cm x 200 cm per bed), which can be separated by up to 40 cm.
b) A standard double room with a double bed (160 cm x 200 cm) can be requested, but cannot be guaranteed.
c) On request we can also offer triple (1 double bed and 2 singles or 3 singles)and/or quadruple rooms (1 double and 2 singles or 4 single beds). Bed preference can not be guaranteed.
7. Food and beverage
a) Breakfast is served in the same restaurant as individual guests and available between 07:00 and 10:30 hrs daily. Requests for early breakfast outside service hours will not be accepted.
b) We do not offer breakfast boxes.
c) Lunch and dinner are not available. It is not allowed to bring food from outside and eat this in public areas.
d) The hotel does not serve alcohol. Guests are not allowed to consume alcohol in the public areas of the hotel, only in their own room.
8. Arrival and departure
a) Groups will be able to check in from 4 PM.
b) Check-in is done according the rooming list, which must be provided at least 7 days prior to arrival.
c) Groups will be able to check out by 11 AM at the latest.
d) It is possible to temporarily park a touring car close to the hotel for drop off of the guests. Parking for a touring car or minivan is not provided.
9. Age-related restrictions
a) Children from 0 to 2 years old can stay for free in their parents’ room (max. 1 child). On request we can place a baby bed in the room (free of charge).
b) Children aged 3 years and over are charged as adults and must also book their own bed.
c) There is no capacity in our rooms to place extra beds.
d) We do not accept groups in which more than 30% of the participants are under 22 years of age.
